Association Membership Template

Dues, categories, chapters, and renewals — the machinery of an association, in code your organization owns.

An association's membership file is its institution: who belongs, in which category, through which chapter, paid through when. This starter models that structure directly — dues cycles, member categories, chapters, and a directory members actually use — and generates it as code your organization owns.

01 · The problem

Why a generic Membership falls short

Association membership isn't a monthly subscription — it's an annual institution. Dues run on a fixed cycle or an anniversary date, renewals arrive as a season with invoices and grace periods rather than silent card charges, and lapsed members get reinstated with their tenure intact. Subscription-shaped tools model none of that; they model churn.

Categories carry governance, not just price. A professional member votes; a student member doesn't; an organizational member covers twelve named individuals under one dues invoice; retirees keep standing at a reduced rate. When category logic lives in a pricing table instead of the schema, every board report starts with a manual cleanup pass.

And associations are federated. Chapters recruit, run programs, and sometimes split dues with the national body — which means membership data has to roll up and filter down. A flat member list can't answer the questions an AGM actually asks: standing by category, by chapter, by tenure.

Modules through the industry lens

Renewal-season plan management

01

Dues run as annual cycles with invoicing, reminder cadences, grace periods, and lapse rules — the actual rhythm of an association year. Anniversary-based renewal is a configuration choice, and reinstatement preserves join dates and tenure.

Member portal with a directory

02

Members update their own records, pay dues, and find each other in a category-aware directory with privacy controls per field. For professional bodies, the public side doubles as the verify-a-member lookup employers actually use.

Revenue view for the board

03

Dues revenue by category and chapter, renewal rates, lapse risk, and the year-over-year retention picture — the treasurer's report generated from live tables instead of assembled from three exports the week before the meeting.

04 · In practice

Workflows it models

The renewal season

01

Invoices generate for the cycle, reminders escalate on schedule, and the dashboard tracks renewal rate live against last year. Grace periods hold standing briefly; true lapses flag for the personal call that saves a twenty-year member.

Organizational membership with named seats

02

A firm joins at the organizational level, pays one dues invoice, and names its twelve covered individuals — each getting portal access and directory presence. Seat changes during the year are edits, not new memberships.

Chapter roll-up for the AGM

03

Each chapter sees its own roll and renewal picture; national sees the roll-up by category and region. Voting eligibility for the annual meeting is a query on categories and standing — resolved in minutes, defensible on paper.

Association Membership template — frequently asked questions

Can it handle member categories with different rights?

Yes — categories are first-class, carrying dues rules, voting rights, and eligibility criteria. The AGM eligibility list and the student-to-professional conversion path both fall out of the schema.

Does it support chapters or sections?

Chapters have officers, member rolls, and optional dues splits with the national organization. Members affiliate with one or several, and reporting rolls up cleanly from chapter to national.

How are annual dues and renewals handled?

As invoice-driven cycles — generated at renewal season or per anniversary, with reminders, grace periods, and lapse-and-reinstate flows that preserve tenure. It behaves like an association year, not a streaming subscription.

Our donors and members overlap — how does this fit with fundraising?

Keep membership here and philanthropy in the donor CRM starter — the two share conventions, and because you own both schemas, the overlap report is a join, not a data-migration project.
